1. Introduction
hatchEZ is a publicly available poultry-management platform for poultry farms, hatcheries, breeders, gamebird producers, and other poultry operations. This Privacy Policy describes how we ("we", "us", or "our") collect, use, and protect your information when you use the hatchEZ website and iOS application (the "Service"). We are committed to protecting your privacy and complying with all applicable data protection laws, including the General Data Protection Regulation (GDPR) for users in the European Economic Area (EEA) and the California Consumer Privacy Act (CCPA) for residents of California.
We do not sell your personal data. We do not use your data for advertising, cross-app tracking, cross-site tracking, or data-broker purposes. We do not share your data with third parties for their advertising or tracking purposes.
2. Information We Collect and Use for App Functionality
We collect only the information needed to provide the Service:
- Account Information: Your name, email address, user ID, and authentication credentials when you register or log in. This is used to identify you and manage your account.
- Farm and Hatch Operational Records: Hatch records, bird counts, mortality data, temperature logs, barn setup details, feed delivery records, medicine cycles, shipments, and daily check entries you input. This data powers the tracking, analytics, and reporting features of the Service.
- User-Entered Notes: Notes you create are stored to provide farm recordkeeping and history features.
- Staff Directory Information: Names, roles, phone numbers, and email addresses of crew or team members you add to your farm. This is used for crew management, labor tracking, and contact features. You are responsible for ensuring you have permission to share this data.
- Employee Hourly-Rate Information: When entered by a farm admin, hourly labor rates are used to calculate labor costs and financial reports for your farm. This information is visible only to farm admins.
- Customer-Support Messages: When you contact us through the in-app contact form, we receive your name, email, and message to respond to your request.
3. What the iOS App Does Not Do
- The iOS application does not access your device's location (GPS or location services).
- The iOS application does not read your emails or SMS messages.
- The iOS application does not collect advertising identifiers, including Apple's Identifier for Advertisers (IDFA).
- The iOS application does not collect or store payment card information.
- The iOS application does not display pricing, subscription checkout, or external purchase links. Purchases and subscription management are not available in the iOS application.
4. How We Use Your Information
- To provide, maintain, and improve the Service and its features.
- To display your farm and hatch data, analytics, and performance reports.
- To manage your account and farm team, including invitations and roles.
- To send you important service notifications, alerts, and updates.
- To respond to customer-support messages you send us.
- To monitor and prevent fraud, abuse, and security issues.
- To comply with legal obligations.
5. Payment and Billing
Paid subscription billing, where applicable, is handled through our third-party payment provider, Stripe. hatchEZ does not store full payment card information. Purchases and subscription management are not available in the iOS application.
6. Legal Basis for Processing (GDPR)
For users in the EEA, we process your personal data under the following legal bases:
- Contract Performance: Processing necessary to provide the Service you requested under our Terms of Use.
- Legal Obligation: Processing required to comply with applicable laws.
- Legitimate Interests: Processing for security, fraud prevention, and service integrity.
- Consent: Where you have given consent for a specific processing activity, you may withdraw it at any time.
7. Data Retention
We retain your personal data for as long as your account is active or as needed to provide the Service. After account closure, we retain data for a reasonable period to comply with legal obligations, resolve disputes, and enforce agreements. Account-related personal data is deleted when you delete your account, except where retention is required by law. Shared farm and hatch operational records may be retained as part of the farm's business records and are not automatically deleted when an individual user account is removed. Where a shared operational record references your name (for example, as the person who performed a check), your name is replaced with a neutral label after account deletion.
You can delete your hatchEZ account directly from Settings → Delete Account.
8. Data Sharing
We do not sell your personal data and do not share it for advertising, cross-app tracking, cross-site tracking, or data-broker purposes. We may share information with:
- Service Providers: Third parties that assist in operating the Service (for example, payment processing for the web service and cloud hosting). These providers process data only on our behalf to deliver the Service.
- Legal Authorities: If required by law, court order, or government regulation.
- Business Transfers: In connection with a merger, acquisition, or asset sale.
Within your farm, data you enter is visible to other members of your farm team according to their assigned role (admin, user, or viewer).
9. Your Rights — GDPR (EEA Users)
If you are in the EEA, you have the following rights:
- Access: Request a copy of your personal data.
- Rectification: Request correction of inaccurate data.
- Erasure ("Right to be Forgotten"): Request deletion of your personal data.

- Withdraw Consent: Withdraw consent at any time without affecting prior processing.
